Assistant Office Manager 6mth FTC

Tasks & responsibilities:

  • Supporting the Office & Culture Manager in her tasks & responsibilities, maintaining a zen like environment of organization, efficiency & productivity around the office
  • Looking after all UK visitors/guests (informing reception, greeting guests, providing guest passes, ensuring they have everything they need, etc.)
  • Maintenance of kitchen (ensuring fridge & snack buckets are kept stocked, inventory on what is popular/not so popular, keeping non-food supplies stocked kitchen clean sweeps & maintaining the all-important coffee machine).
  • Day-to-day tidying of the office & preparation of meeting rooms
  • Organisation & management of weekly lunches & internal celebratory events, such as - end of month/end of quarter events
  • Deliveries - collecting & processing of post into the UK office, incl. coordination of couriers, as well as liaising with loading bay re. deliveries
  • Amp the culture. In collaboration with the Office & Culture Manager, bring your creativity to the workspace & implement your decorative ideas, new traditions, & find fun & helpful ways to brighten everyones day while managing within the office budget
  • Ad-hoc duties for other departments: lunches/snacks for meetings, sourcing/ordering items.
  • Additional Fire Marshal / Additional First Aider (training may be required)

Your Profile:

  • Were open to different profiles; however, office management, hospitality or concierge experience is a plus.
  • An entrepreneurial spirit & the ability to multitask, set priorities, & take initiative is a must.
  • Proven ability to form strong relationships with all levels of the organization, yet act as a representative of management on a daily basis
  • Pragmatic & practical spirit with strong planning & organizational skills
  • Proven ability to maintain confidentiality
  • Possess excellent oral & written communication skills
  • Advanced computer skills desired but not required with strong motivation to optimize processes
