The Role

Based in New York City, the Executive Assistance will partner with the SVP, Technology & Operations in the support of a global organization. Success is achieved by being proactive, efficient, & with the use of high judgement to prioritize, plan, & execute key administrative tasks including: professional interaction with internal & external business partners, writing & proofing documents, coordinating meetings & travel, & managing team-wide events. Knowledge of & experience in the financial and/or technology industries will be beneficial as our team executes on both dimensions. It is critical that strong working relationships are fostered with partner teams & their support staff to ensure smooth execution. This opportunity is fast paced, challenging, & fun all at the same time.

Responsibilities

  • Be self-motivated to optimize processes & procedures with minimal guidance
  • Adhere to complete confidentiality on all business & employee matters
  • Organize & manage a complex calendar & travel, across multiple time zones
  • Liaise with external partners & business guests, being professional & friendly
  • Coordinate & network with the We Executive Assistant community
  • Prepare for meetings, draft notes & track key action-items until resolved
  • Ensure HR & business systems are all accurate
  • Organize logistics for various team off-sites & events
  • Ensure compliance with expense management & reporting

Qualifications

  • 4+ years of proven team support & administration experience in a fast-growth company
  • Exceptionally detail-oriented with excellent time management skills
  • Demonstrated ability to drive multiple projects to completion
  • Demonstrated ability to learn fast & solve unique challenges
  • Prior experience interacting with multiple time zones, & a diverse global team
  • Prior support of executive-level roles, with board-level interactions a plus
  • Positive, optimistic & enthusiastic attitude
  • Concise, yet open & friendly communication style
  • Resilient & able to adapt to changing needs, priorities & responsibilities
  • Experience in project management, event planning or similar roles
  • Experience with high-volume travel & calendaring
  • Strong writing skills: concise, articulate & polished
