Key Roles & Responsibilities:

  • Heavy calendar management for two executives including proactively scheduling meetings
  • Recognize the impact of a shift in priorities, & take the necessary actions to reschedule
  • Handle confidential & non-routine information
  • Work cross functionally across internal teams to accomplish goals cohesively
  • Work closely & effectively keep the team well informed of upcoming commitments & responsibilities, following up appropriately
  • Attend meetings, take minutes & track updates
  • Assist with reporting & metrics
  • Excel with organization & seek opportunities for continuous improvement
  • Assist with client relationships in terms of scheduling, hosting & representing the company in a positive manner
  • Manage ongoing projects
  • Organize & process expense reports

Requirements:

  • Exceptionally organized with keen attention to detail
  • Flexibility embraces change & enjoys the fact that no one day will be the exact same as the next & their work will vary according to the companys needs
  • Willing & able to go above & beyond the traditional assistant role, in terms of tasks performed; learn new roles, develop & grow
  • A quick study who can easily learn & adapt to new systems & methods, & understand how their work fits into the broader scope of the companys business objectives
  • Anticipate the teams needs & adapt accordingly, in order to free up their executives time & energy for work that is more directly productive for the company
  • Maintain confidentiality & exercise discretion in all interactions, both internal & external, & understands the gravity of their work environment & what is at stake
  • Quick & scrappy learner who adapts well to a fast-moving environment & gets things done, combines creativity, problem-solving skills, & a can-do attitude to overcome any obstacle
  • Experience in fast paced, start-up environments is preferred able to work comfortably under pressure, frequently changing landscape & tight deadlines
  • A strategic thinker with excellent business judgment
  • Highly innovative problem solver possessing strong interpersonal, cross-functional, & project planning skills
  • Demonstrated ability to meet aggressive deadlines
  • Excellent verbal & written communication skills; ability to deal with complex problems & present recommendations & findings in a clear, concise format
