Zola is seeking a Talent Coordinator to join our Talent team.We are growing rapidly & need someone with a passion for people & the hiring experience who is not afraid to hit the ground running.  This person will have exposure to all areas of HR, with a particular focus on Recruiting, Onboarding & Offboarding, & HR administrative duties. We are hard-working, collaborative & a lot of fun!

  • Someone with experience coordinating for a hiring team or in a tech start-up environment and/or recruitment coordinator background a plus 
  • Someone who will manage sensitive information with integrity 
  • Someone who will uphold Zola's values & be a positive representation & addition to the company 

Your Responsibilities: 

Onboarding/Offboarding:

  • Ensure completion of all new hire paperwork & setup in coordination with IT, the hiring manager & the Talent Team
  • Managing Zolas internal onboarding program
  • Adding employee into HRIS system, JustWorks 
  • Manage all contractor onboarding & offboarding

Recruiting/Talent Acquisition:

  • Support Recruiting team with scheduling panel interviews
  • Grow to support Recruiting team with sourcing
  • Support recruiting events as needed
  • Complete employment verification letters or references upon request

HR Admin:

  • Manage Employee Data
  • Maintain new hire & termination information & employee data changes in JustWorks & other reporting
  • Maintain updated organizational charts
  • Track monthly employee metrics 
  • Maintain Zola discount program administration 
  • I-9 completion in Just Works
  • 45/90 day employee & manager check ins scheduling
  • Benefits
    • Manage benefits enrollment & termination for Montreal employees
    • Help answer day-to-day employee questions
    • Plan Zola Wellness days



Adhoc Projects:

  • Help support company events/initiatives as needed with Office Management team
  • Misc initiatives (i.e., creating New Hire standardization docs, Onboarding surveys, etc.)

Qualifications: 

  • 0 to 2 years coordinator or administrative / executive assistant experience in an agency or corporate setting 
  • Bachelor's degree required 
  • Some experience with an Applicant Tracking System (such as Jazz or Greenhouse) to manage recruitment processes & candidate experience preferred 
  • Well-developed communications & interpersonal skills 
  • Sourcing experience is a plus 
  • A passion for customer service & people
