CIC seeks a highly organized administrative professional with ambition, creativity, & dependability to join our Executive Aide team for CIC International, based in Rotterdam, the Netherlands. This person will be directly supporting Melissa Ablett, Strategic Director of Sales & Operations for CIC International, & Marcus Fernhout, Executive Director of CIC International, by providing expert administrative support, including scheduling, & project management. This is a unique opportunity for an exceptionally detail-oriented individual who thrives in a fast-paced work environment & is looking for boots-on-the-ground exposure to a dynamic, growing global business. 

ABOUT MELISSA ABLETT
Melissa has been with CIC for more than five years & is currently the Strategic Director of Sales & Operations for CIC International. In this role, Melissa is responsible for overseeing the development, launch, & early success of centers outside the US. Melissa began with CIC based in Boston, as an Expansion Project Lead, & worked alongside Marcus Fernhout on the negotiations & launch of CIC Rotterdam. Melissa then moved to Rotterdam & took on the role of running the center, as General Manager, growing the business to 235 client companies in 10.000m2. Prior to CIC, Melissa was the General Manager of a media startup in Boston, & worked in innovation policy in Massachusetts. Melissa is an engaged leader, strategic thinker, & a high achiever who pushes others to excel. She loves good jokes & has a miniature office Dachshund named Nena.  

ABOUT MARCUS FERNHOUT
Marcus has also worked with CIC for more than five years, & came on board with the company to found CIC Rotterdam. Currently in his role as Executive Director, Marcus is responsible for finding locations for future centers in the EU, & developing the necessary partnerships, resources, & deals to achieve them. Marcus is an experienced real estate entrepreneur, having developed 9 multi tenant buildings in Rotterdam, Amsterdam & Arnhem for creatives & entrepreneurs before joining CIC. Marcus loves creativity, big-picture thinking, & experimenting boldly.

Your day to day work

In addition to directly supporting international expansion, you will support general administrative & back office tasks for CIC International & its subsidiaries. You will also report to Melissa. 

SCHEDULING AND ADMINISTRATIVE SUPPORT:
Master of calendar Tetris. This role involves heavy calendar management, maintaining an organized calendar while determining priorities, working with the schedules of other team members, juggling professional commitments, & adapting to last-minute changes.
Respond to travel & schedule changes & deal with any issues that arise, inside or outside of normal business hours.
Reconcile expenses & create expense reports (both monthly expenses & travel expense reports) through Basecone Expense software.
This position may include some inbox management/monitoring & will include communicating on behalf of the Head of Centers as well as other senior leaders. 
PROJECT WORK:
Maintain business & admin accounts, bibliographic information & professional contacts in a clear, organized system (including biography, LinkedIn accounts, all business cards).
Manage administrative & back office tasks to support the smooth operation of CIC International & its subsidiaries. This will include contract management, review schedule management, & some additional HR projects & financial admin support.
Adapt to organizational needs, jumping in to support other team members as needed
Periodically jump in to assist on projects to support the development of processes & systems for a growing company

About you

CIC seeks a self-motivated & confident individual who can act as intellectual support to supervisors. This dynamic role requires excellent planning, project management, & problem solving skills. We expect the person who joins us in this role will drive projects forward independently, anticipate issues before they occur, solve problems creatively, & know when to ask for help. 

Qualities we look for in a candidate:
Meticulous attention to detail & the ability to see around corners, anticipating the team's needs & heading off potential problems.
Nuanced ability to tailor communication style, including effectively balancing strong professional communication with authentic & casual communication, & an understanding of what's appropriate in any given context.
Highly attentive listening & reading skills. Ability to absorb a high volume of information in a short amount of time, complete requests with limited information, & learn & adapt to supervisors preferences.
Excellent project management skills & the ability to research, create, & analyze data & come up with creative approaches to problem solving.
Strong multi-tasking skills. Comfort jumping in & out of things. Eager & able to dive into projects with minimal oversight or direction while also balancing day-to-day administrative needs.
Unrelenting calm during chaos.
Curious, creative, eager to learn, self-starting. This position carries a significant level of independent responsibility but will have the support of our Executive Aide team.
Personable, happy-to-help others, & naturally drawn to a very busy, ever-evolving environment.
Both a doer & a thinker; someone who rolls up their sleeves & jumps right in no matter what but always in a thoughtful manner.
Detail-oriented, capable of being the first point of contact for multiple conversations, skilled at prioritizing a wide range of tasks.
Willingness to help & support others, think creatively about how to maximize time, & juggle many details & activities.

Requirements

1-2 years of professional experience.
Bachelor's degree or equivalent experience.
Basic Dutch skills required (able to use translation tools for emails, etc, as needed). English fluency a must.
Master of Google Apps for Business (Gmail, Calendar, Drive) & of Microsoft Office (Powerpoint, Excel, etc).
The ability to be in the office during business hours & to work roughly 1-2 hours a week outside of regular hours, including weekends, nights, & mornings, handling time-sensitive situations.
Demonstrated success leveraging & supporting others in the achievement of their goals.
An interest in a long-term role. We are a growing company, & we like to hire people who will stay with us for the long term. 

Our offer

Starting compensation is 2.500 gross per month based on full time employment, with, in addition, an 8% holiday allowance. Annual reviews with raises significantly above the national average every year for those on track with strong performance.
