This position will be responsible for a broad range of executive administrative support duties forseveral senior executives of Visa's Visa Business Solutions Team. This position has a flexible location of the following cities: New York, NY, San Francisco, CA, or Foster City, CA. Travel is not required for this role. The EA will be based in one of the cities listed.
The Executive Administrator is an integral member of the team & will help to enhance the effectiveness of each Executive through various means of support while liaising with various global heads, regions, & includes cross-pollination between various departments across the organization.
We are looking for someone who takes great pride in being an ExecutiveAdministrator & who will serve as an ambassador for Visa & the Business Solutions team.
Actively managesfour Executives' Microsoft Outlook calendars. Heavy communication & incoming requests from internal & external stakeholders. In addition to basic scheduling functions, you will anticipate & prioritize scheduling needs based on deadlines & deliverables. This will require coordination with leaders & various stakeholders both internal & external to Visa Business Solutions. Must be able to react quickly & make decisions based on priority, minimizing disruptions & resolving schedule conflicts.
Proactively manages & coordinates recurring & ongoing activities such as weekly team meetings, management meetings, global meetings, reoccurring meetings, client facing meetings, employee engagement initiatives & training.
Coordinates logistical arrangements, daily conference rooms, AV, & frequent catering for the team
The EA will use Carlson Wagonlit to book & organize domestic & international travel arrangements on behalf of each Executive
Prepare & process expense reports using Concur on behalf of each Executive
Use of Ariba to manage iprocurement office supplies on behalf of the Global VBS team, including management of office peripherals for remote team members
Manage the day-to-day work flow as well as possess confidence & strong communication skills to interface with all levels of staff. Liaison between various internal business units & departments assisting with training initiatives & various programs related to development & moral.
Draft correspondence & memos on behalf of, including proofreading & formatting business documents or broad communications for overall professional writing style & proper grammar.
Converts concepts & ideas from discussions & meetings into reports, spreadsheets; agendas, briefing materials & presentation materials to analyze information or make business decisions.
General administrative support duties, including but are not limited to managing multiple email distribution lists, scanning, copying & printing, use of Skype for business & or WebEx for conference calls. Regular shipping & handling of U.S. mail & FedEx.
Logs visitors in appropriate databases per office location, corresponds with reception
On boards & Off boards employees on behalf of VBS, works closely with IT professionals, Human Resources & facilities coordinators regarding space allocation
Works closely with other EA's to provide support for various global administrative activities in a consistent manner
Ability & experience working across various time zones
Willingness to train & lead others on the Global VBS team.
- Minimum of 6 months of work experience or a Bachelor's Degree
2+ years administrative experience supporting multiple senior executives of a global team
3 - 5 years administrative experience supporting a senior executive of a global team. Experience in a public accounting firm or fast-paced finance & or fintech organization is highly valued.
Must have a high school degree or equivalent, a Bachelors Degree is preferred but not required
Demonstrates excellent leadership & professional presence with a confident & approachable personality
Capable of working with discretion & tact in an environment exposed to a high level of sensitive & confidential information
Strong communication (written & verbal), detail-oriented, highly organized & ability to work across functions with executives (both internal & external)
Intrinsically-motivated, highly organized & results-oriented. Able to work with little to no supervision. Demonstrated initiative, flexibility, teamwork, maturity under pressure, & can anticipate & resolve problems before they escalate
History of creative problem solving, analytical skills, ability to work well collaboratively & under pressure
Experience in Microsoft Outlook, & Excel. Additional experience with Concur, Ariba, Carlson Wagon-lit or Skype would be beneficial
Highly proficient in organizing worldwide travel
Detail-oriented & ability to complete work assignments with a high degree of quality
Ability to manage multiple tasks & assist multiple team members at the same time
- This position requires the incumbent to travel for work 5% of the time
