Position
WorkFusion is seeking an experienced Administrative Assistant to support the administrative needs of the COO & the Head of Strategic Business. As an Administrative Assistant, you will be handling a variety of professional responsibilities including heavy calendar management, expense reporting, managing & organizing multiple high-volume email inboxes, & scheduling internal & external conference calls.
The ideal candidate is highly organized & thrives off enabling & supporting their teams to be as productive & impactful as possible. You will leverage your excellent communication skills, & exercise tact & diplomacy in helping to manage relationships with both internal & external stakeholders. In this role, you will also demonstrate good judgment, strategic thinking, prioritization & the ability to work in environments with sensitive & private information. This role is based in New York City.
Key responsibilities
Provide administrative support to multiple leaders across the organization
Manage complex calendars & prioritize commitments to maximize time & productivity
Coordinate internal/external meetings & conference calls
Preparation & management of PowerPoint presentations
Track & process expense reports
Book travel arrangements (domestic & international)
Partake in planning & supporting company & leadership meetings/events
Work both autonomously & in collaboration with other leaders & teams, including other EA's (both internal & external)
Qualifications/Experience
3+ years' previous administrative or personal support experience, preferably in a fast-paced, high-growth startup environment
Excellent computer skills, including proficiency with Microsoft products (Excel, Word, PowerPoint, Teams, etc.)
Keen judgment & decision-making ability with a proactive nature (anticipate needs of leadership)
Excellent written & verbal communication skills (proofreading)
Ability to support multiple leaders with varying operating styles
Experience scheduling & managing travel itineraries
Ability to pivot quickly, anticipate needs, & execute autonomously, with strong attention to detail
Ability to multi-task, prioritize, & have a high sense of urgency.
High level of professionalism, confidentiality, & discretion in both internal & external interactions
Flexibility in tasks & hours worked
Bachelor's degree preferred
