Job Description

This position will be responsible for a broad range of executive administrative support duties for senior members of Visa's Visa Direct team. We are looking for someone who takes great pride in assisting & serving as an ambassador for Visa & the Visa Direct Cross Border & Global Ecosystem Readiness teams, & engage with the broader Visa Direct team & executives for collaborative projects & support.

The ideal candidate will demonstrate excellent leadership, have an approachable personality & professional presence with a solution-oriented mindset. S/he must be capable of working with discretion & tact in an environment exposed to a high level of sensitive & confidential information.

In order to be successful, the candidate must possess the ability to stay several steps ahead & anticipate the needs of extremely busy executives. This role requires off-hours responsiveness, for example when the executive is in a different time zone.

Essential Functions

  • Manage daily calendars for 2-3 VPs on the Visa Direct global team

  • Prioritize schedules based on last-minute changes & problem-solve scheduling conflicts proactively

  • Screen incoming calls & correspondence & respond independently when possible

  • Organize complex domestic & international travel arrangements for the executive and/or members of their direct staff, including team off-sites & events

  • Screen incoming calls & correspondence & respond independently when possible

  • Manage the day-to-day work flow as well as possess confidence & strong communication skills to interface with all levels of staff

  • Support key team initiatives as lead project coordinator. Duties may include: support with expanded staff meetings, teleconferences, meeting logistics (both internal & external), catering, & electronic or printed presentations

  • Manage filing system of shared team resources, update as necessary the electronic documents stored on intranet/portals

  • Prepare expense reports using Oracle iExpense, & ensure timely submissions, accurate accounting & submit supporting receipts for all itemized reports

  • Work with senior leadership executive assistants to create seamless office operations

  • Prepare documents in Word, Excel, & PowerPoint. Proficiency in Microsoft Office is a must

  • Act as a liaison, problem solver, & facilitator as the first contact for the executive & others in the department


Basic Qualifications

  • Minimum of 12 months of work experience or a Bachelor's Degree

Preferred Qualifications

  • 2 or more years of work experience

  • 5+ years of solid executive assistant/coordination experience

  • Advanced experience in administrative support at an international level

  • Strong communication (written & verbal), detail-oriented, highly organized & ability to work across functions with executives (both internal & external)

  • Intrinsically-motivated, highly organized & results-oriented. Able to work with little to no supervision. Demonstrated initiative, flexibility, teamwork, maturity under pressure, & can anticipate & resolve problems before they escalate

  • History of creative problem solving, analytical skills, ability to work well collaboratively & under pressure

  • Experience creating and/or supporting presentation development for senior management

  • Experience in Microsoft Outlook, Excel, PowerPoint, SharePoint. (Must have Excel experience.) Additional experience with Oracle iExpense & iProcurement would be beneficial

  • Highly proficient in organizing worldwide travel

  • Detail-oriented & ability to complete work assignments with a high degree of quality

  • Ability to manage multiple tasks & assist multiple team members at the same time

Physical Requirements

This position will be performed in an office setting. The position will require the incumbent to sit & stand at a desk, communicate in person & by telephone, frequently operate standard office equipment, such as telephones & computers, & reach with hands & arms.
