What were looking for:

The Front Office Assistant is the face & voice of Superfly New York. In addition to greeting visitors, accepting incoming calls, & performing general administrative duties in the New York office, the Front Office Assistant will support the People & Culture & Company Operations teams on internal communications, company events & hospitality.

Heres what youll do:

  • Manage the front desk area including shipping, receiving, answering phones, & responding to visitors in a warm, friendly & professional manner
  • Provide hospitality to guests & visitors
  • Sort & distribute incoming & outgoing mail & packages; monitor & track shipments & courier services
  • Manage all communication for the companys information email account
  • Manage scheduling & oversee the use of the conference room & conference line reservation system
  • Manage front desk coverage schedule for other assistants/coordinators ensuring theres someone up front at all time
  • Maintain office cleanliness & appearance, including reception, conference rooms, kitchen, storage areas & restrooms
  • Manage facilities requests, repairs & maintenance, & relationship with building management
  • Support the Coordinator, Company Operations with all A/V training, maintenance in the New York office, troubleshooting when necessary
  • Ensure printer ink levels are sufficient; replace toner cartridges as needed
  • Manage coffee supply throughout the day, ensuring coffee is made first thing each morning
  • Support coordination of internal Superfly events, including monthly birthday parties, holiday parties, etc.
  • Place all food & beverage orders & maintain inventory lists to ensure kitchen is appropriately stocked; adhere to the food & beverage budget
  • Support the Coordinator, Company Operations with supply orders & maintain inventory lists to ensure office is appropriately stocked; adhere to the office supplies budget
  • Other duties as assigned

Your Strengths include:

  • Exceptional communication skills (written & verbal)
  • Proactive, highly organized, with strong attention to detail
  • Ability to multitask & work under pressure in a fast-paced environment
  • Experience with calendar management, travel, & expense reporting
  • Knowledge of standard business software & applications (Google Apps, Microsoft Office Suite, & Apple products)
  • Demonstrated ability to take direction & prioritize while juggling multiple projects at once in a fast-paced, deadline-driven environment
  • Strong self-starter who takes full responsibility & ownership of the tasks before them
  • Fun, friendly & professional demeanor

Your experience:

  • Prior experience with office administration preferred
  • Prior experience with hospitality, entertainment or digital media a plus
  • Prior experience with corporate event coordination a plus
