Alfred is seeking an experienced Executive Assistant & Office Manager to provide support to the executive leadership & NYC-based office teams. This impactful position will be part of a dynamic team that requires high responsiveness & attention to detail. The successful candidate is eager to take on a position that extends beyond traditional administrative responsibilities to involve office management & operational coordination.

  • Organize & maintain complex calendars; prioritize & coordinate a high-volume & ever-changing schedule & priorities.
  • Demonstrate composure & flexibility, regardless of competing priorities.
  • Anticipate the executives needs & proactively assemble the appropriate people & resources to solve problems.
  • Communicate on behalf of the executive(s) you support, including handling highly sensitive & confidential material. 
  • Ensure all communication is tracked & responded to in a timely manner.
  • Coordinate & oversee complex travel arrangements, including all necessary documentation
  • Welcome all guests & potential candidates to ensure an excellent experience during their visit to HomeQ
  • Implement policies & ensure the health & safety of everyone in the office
  • Own any ongoing needs to improve the office experience
  • Maintains office supplies inventory & anticipating needed supplies, evaluating new office products, placing orders for supplies, ordering all office food supplies & ensuring the kitchen is stocked each day.
  • Manage monthly budget for office supplies, inventory & other office-related expenses, creating budget & maintaining ongoing tracker of spend against budget.
  • Proactively recognize the needs of the office & ensure that the spaces are tidy, welcoming, set up properly.
  • Act as the main point of contact with all office support vendors including building management & cleaning services.
  • Plan & manage company events including team happy hours,offsite, catered meetings,holiday celebrations, employee milestone celebrations.
  • Complete expense reports & manage company documents & contracts as needed.
  • Exercise proper judgment at all times maintaining full discretion, confidentiality, & professionalism.

Who you are

  • 3+ years of relevant experience, 1+ year supporting C-level executives
  • Experience supporting an organization while also handling the day-to-day tasks of the office
  • Experience in managing budgets
  • Experience in vendor management & relationship building
  • Friendly & approachable demeanor
  • Demonstrate the desire to grow & take on new skills & projects
  • Proficiency in G-Suite: Google Calendars, Google Docs, Google Sheets, Google Slides
  • Strong organizational skills that demonstrate ability to perform & prioritize multiple tasks seamlessly
  • Exceptional attention to detail & accuracy
  • Experience working in a start-up and/or fast-moving & growing organization
  • Ability to multitask, deal with ambiguity & reprioritize tasks in response to unexpected changes in priorities/requests
  • Excellent written & verbal communication skills
  • Highly resourceful team-player, with the ability to also be independently effective
  • Demonstrated ability to achieve high performance goals & meet deadlines in a fast-paced environment
  • Must be willing to work from the NYC office no less than 2 & up to 5 days a week
