***Please note that we are all currently working remotely until staff feel safe & comfortable returning to the office. Once we do, we expect to continue granting our team the flexibility of choosing to work from home or anytime from our HQ, but will confirm this once our plans are firm.

The Job

As the HR & Office Manager, youll be reporting directly to the CEO & working independently in all areas of HR & office operations. In addition to building strong relationships with all staff members, youll collaborate with & assist the senior leadership team to build a highly effective organization. Youll also be expected to grow the HR team alongside the growth of the business.

What you'll be doing:

  • Be the first point of contact for all HR-related inquiries; triage issues or concerns, & escalate to the CEO as needed
  • Drive company culture through actionable initiatives including recruiting, onboarding, training, goal-setting, & evaluation processes
  • With the support from the CEO & senior leadership team, lead the development & improvement of programs & processes on a regular basis around hiring & onboarding new staff, training, performance reviews, & professional development to drive productivity & ensure high performance
  • Support talent acquisition/recruitment activities to bring in amazing talent to 500px
  • Ensure compliance with local, provincial, & federal laws at all times, & continuously update our Employee Handbook to reflect these laws
  • Draft offer letters, terminations, contractor agreements, & other labour or human resource-related documents
  • Create, track, & maintain various reports, including vacation requests & approvals, employment history, salary, & other personnel data; develop HR reporting or analysis for the Executive Team, as needed
  • Prepare biweekly payroll 
  • Communicate & roll out updated HR programs & policies
  • Responsible for the implementation and/or enforcement of policies that ensure teams & employees are treated consistently & within the Employment Standards Act & Human Rights Code
  • Have a good understanding of our business objectives & design HR practices & policies that will drive & support the desired business outcome
  • Own the team calendar to ensure team-wide meetings & events are properly scheduled; assist senior leadership with scheduling any team-wide or skip-level meetings
  • Manage employee relations & assist in employee retention efforts by organizing various social & work-related team engagement activities
  • Office management: order supplies & equipment for the Toronto office, & coordinate needs of WFH employees
  • Facilities & tenant management: work with property managers to sort out building issues that may arise, & work with realtor when appropriate
  • Communicate with internal & external stakeholders related to HR & office management
  • Work on special HR or office operations projects, as needed

What the ideal candidate will have:

  • An interesting educational background, & further professional HR education and/or qualifications
  • Expert knowledge of Canadian labour & employment laws  
  • Proven experience promoting diversity, inclusiveness, & equity plans, processes, & best practices in the workplace
  • Experience managing the HR needs of a remote/hybrid workforce environment with team members in different time zones & locations
  • Understanding of unique HR needs in a tech company or in the tech industry (e.g., recruiting, training, retention, etc.)
  • Familiarity with office management responsibilities & procedures
  • Comfortable using or learning to use tools including Google Suite, HRIS & recruiting software (we use BambooHR & Greenhouse), & Expensify
  • Outstanding organizational, multitasking, time-management, problem-solving, & decision-making abilities
  • Excellent communication & interpersonal skills, plus very strong guiding principles & ethics
  • Reliability with a roll-up-your-sleeves attitude

  1. Phone screen: < 30 min conversation with a hiring manager
  2. Team interviews: 2-3 hours on Zoom where you'll e-meet multiple members of our team
