About the Role:  

The Office Manager will play a key role in overseeing the day to day operations of the internal office. The Office manager will be responsible for creating & maintaining a pleasant work environment, while ensuring high levels of organizational effectiveness, communication, & safety. The ideal candidate will possess the experience & personality to maintain an authoritative role & assure all company policies are adhered to. This role will report into the Head of Local Operations & Development & is required to be in the office. 

Responsibilities: 

  • Manages staff workspace reservations ensuring team members have an assigned space prior to entering the office 
  • Ensures the office facility is neat, clean, & well maintained
  • Enforces COVID-19 policies & procedures
  • Handles the acquisition & maintenance of all facilities functions including but not limited to: equipment, furniture, telephone, security, HVAC, cleaning services, cable hook-ups, & any other area relating to the functioning of the office space 
  • Handles all day-to-day requests from staff for any in office services, equipment, moves, etc.
  • Develops & maintains all vendor relations to ensure prompt & quality service
  • Maintains lists, service contracts, schedules, & reports of equipment, procedures, & security cards, etc. 
  • Works with all contractors for any construction projects previously approved & works within a budget to deliver completed work within budget & within a reasonable time period. Secures competitive quotes as needed
  • Is the liaison with the building staff; Works with the building management & staff to ensure plant maintenance, safety, & security
  • Works closely with IT contractors (Electric) on any shutdowns required by the building or for maintenance
  • Handles all day-to-day requests from staff for any in office services, equipment, moves, etc.
  • Communicates with staff regarding any office-wide issues, changes, or announcements affecting the staff
  • Works with finance to arrange for the payment of all office services/facilities-related invoices on a timely basis
  • Prepares the office budget annually for approval
  • Oversees the ordering & delivery of all office supplies
  • Handles the issuance of all security cards & keys as needed by the employee
  • Responds to equipment failure issues & alarms in a timely fashion & notifies the service provider as well
  • Responsible for employee & equipment moves
  • Responsible for stocking the kitchen with milk & supplies
  • Oversees processing of all mail, packages, deliveries (both outgoing & incoming)
  • Handles special projects as needed or assigned
  • Executive Assistant Responsibilities: Provide quality support for the executives & the organization

  • 3+ years of office management or other relevant experience
  • Facilities management experience
  • Ability to be creative, strategic, & think outside the box to solve problems
  • Attention to detail to ensure tasks are completed thoroughly & correctly 
  • Organization & ability to multitask to complete a wide variety of tasks
  • Strong interpersonal skills to interact positively with all employees 
  • Ability to communicate clearly & effectively with many different teams, team leads & outside vendors
  • The ability to concurrently manage multiple projects & priorities while maintaining a high standard of delivery overall
  • Strong vendor management skills
  • Flexibility to help adjust to new tasks should company or office needs change
