Production Manager

What youll do:

The Production Manager is responsible for planning & coordinating multiple events & on-site programs, supervising the work of production specialists & operations staff, & providing support & assistance with all 3rd party catering activities. We are looking for someone that can effectively lead the production team & build meaningful relationships with our clients. In this role, you will also serve as the liaison between facility users & the facility staff, service providers, & other stakeholders.

  • Serve as liaison between clients & operations
  • Effectively communicate both verbally & written, with all level of associates, clients, & all Convene departments in an attentive, friendly, courteous, & service-oriented manner
  • Effectively listen to, understand, & clarify concerns raised by associates & clients
  • Comply with Convene regulations to encourage safe & efficient conference center operations
  • Work closely with Sales Department; prepare pre-program cost estimates, room diagrams & photos, & facility insights; assist relationship managers in getting clients through the contract phase
  • Communicate with clients to determine program needs via site visits & pre-conference meetings when necessary; manage planning process from start to finish
  • Profitably manage services provided by Convene while upholding contracted agreements
  • Create & maintain detailed event documentation for each booking
  • Responsible for creation & distribution of PEOs (Program Execution Orders), program diagrams, & invoices
  • Accountable for Convene registration desk & related processes, such as check-in
  • Work in conjunction with building management & building security; manage day-to-day operations accordingly
  • Conduct daily site inspections of all conference center areas for cleanliness & maintenance & monitor quality of service in conference center operations
  • Build high-energy relationships with clients & participants & assist with all requests during
  • Supervise proper calculation of all program checks & ensure client approval & signatures
  • Ensure collection of all program balances
  • Maximize efforts toward productivity, identify problem areas & assist in implementing solutions
  • Conduct weekly production meeting & daily PEO meeting
  • Ensure preparation of required reports, including (but not limited to) associates schedules & quarterly action plans
  • Conduct ongoing training of Production Specialists
  • Must be able to multitask & prioritize departmental functions to meet deadlines
  • Maintain regular attendance in compliance with Convene standards, as required by scheduling, which will vary according to the needs of the conference center
  • Perform additional duties as requested by General Manager
  • Administrative support

What we look for:

  • Minimum Bachelors Degree in Hospitality or related field
  • Minimum 3 years experience in hospitality, including some previous supervisory experience
  • Ability to lead other team members
  • Ability to work effectively with clients
  • Flexible & long hours sometimes required
  • Ability to move, lift, carry, push, pull & place objects up to 25 pounds without assistance
  • Ability to reach overhead & below the knees, including bending, twisting, pulling, & stooping
  • Ability to stand, sit, or walk for an extended period of time
