Reporting to the Senior Director, People Operations & Analytics, the People Operations Specialist will help facilitate our people processes & programs across Human Resources, Learning & Development & Talent Acquisition for global teams, creating a world class employee & candidate experience.
The ideal candidate will bring a hardworking approach & be a fast learner with outstanding follow-up skills & attention to detail. This is an exciting role for an emerging professional looking for a growth opportunity on the People Team in a global organization. Youll play a pivotal role in ensuring operational excellence, data integrity, & a seamless employee experience while driving impactful results & collaborating across teams.
Essential Functions include:
- This role operates on East Coast hours, requiring availability from approximately 9:00 AM to 5:00 PM ET to align with team & business needs.
- Strives for excellence in supporting the full life-cycle of both the candidate & employee experience
- Consistently review & audit your own work to ensure accuracy in the ATS & HRIS systems, as well as other workflows & reports.
- Maintain data integrity & accuracy in the ATS & HRIS systems by following global processes for job & employee data changes, including new hire data entry, job changes, & requisition creation.
- Build, automate, & load impactful dashboards & reports for People Team trends & performance as needed.
- Performs regular system audits to ensure data integrity, including payroll & reporting accuracy.
- Own responsibility for Acquias ATS, HRIS, & Benefits Systems, acting as the Subject Matter Expert (SME) for daily interactions & platform improvements.
- Proactively identify & suggest process improvements, streamlining workflows & increasing efficiency through automation & standardization.
- Prepare offer packets & preboarding materials for finalists, including offer letters, background checks, policy documents, & new hire forms.
- Partner with HRBP & Finance teams to drive the monthly payroll cycle, ensuring data is accurate & deadlines are met.
- Submits & tracks invoice processing for people systems & employment matters as needed using the purchase order system
- Act as the first point of contact for ATS & HRIS questions, resolving issues quickly & effectively.
- Performs compliance related reporting & activities in partnership with the HR Team.
- Quickly build, automate, load HR reporting for internal & external systems around the business.
- Produce market benchmarks & other compensation data as requested.
- Collaborate with employees on HR inquiries & processes, consistently demonstrating outstanding customer service & integrity.
- Maintains knowledge of HR practices in the industry; performs research to help problem solve.
- Package & present recommendations to key partners through a thoughtful combination of quantitative analysis & contextual storytelling
- Serve as the regional SME for all HR/TA/Benefits tools & platforms, continuously reviewing for optimization, keeping processes (documentation) up-to-date, & centralizing documentation
- Drive process improvements by finding opportunities for efficiency & scalability in workflows.
- Other Ad Hoc duties as assigned
Minimum Qualifications
- 1-3 years of relevant Learning or People Team Operations experience
- Outstanding customer service skills, with excellent written & verbal communication abilities
- Completes tasks with a high sense of urgency, effectively prioritizing & balancing multiple projects simultaneously while remaining flexible
- Self-Starter with Attention to Detail: Takes ownership of tasks, proactively identifies improvements, & ensures accuracy in all work.
- Proactive Problem-Solving: Anticipates potential issues, proposes solutions, & ensures processes are continuously improved.
- Ability to establish relationships, collaborate across teams, & influence partners effectively.
- Maintains a positive, professional demeanor & ensures confidentiality at all times.
- Proficiency in MS Office, with strong PowerPoint & Excel skills for data analysis & reporting (experience with Greenhouse, ADP, or other systems is a plus).
- Strong interpersonal skills with the ability to establish relationships & influence at all levels of the organization.
