Office Manager

We are seeking a proactive & versatile Office Manager to join our team & take ownership of various office support functions. This role involves setting up & maintaining office functionalities, providing support for facilities, events, & projects, & ensuring a pleasant work environment for our team.

Main responsibilities :

  • Office Management: Managing the entire life of the office
    • Organize office layout & order stationery, equipment, & supplies;
    • Welcome visitors & be the first point of office contact ;
    • Manage the meeting rooms (reservation, availability); 
    • Manage all issues that the building can have; 
  • Assist the Managing Director & Sales Director (meeting, expense account, travel);
  • Ability to lead internal projects:
    • Deployment of Workplace Management software;
    • Management of an office removal : Planning & coordination, needs assessment, budget management, logistics, risk management, monitoring & evaluation, communication & employee feedback.
  • Admin & financial:
    • Budget tracking of expenses related to the office activity;
    • Be the back office for our expense tool & help the executive team;
    • Prepare office reports for the Managing Director.
  • Event:
    • Proposing & organizing events & activities to improve employee commitment, such as team lunches, team building, afterwork events, etc..;
    • Coordinate business travel arrangements & internal meetings;
    • Assist the marketing team for client events (organization, logistics).
  • HR:
    • Assist in the onboarding process for new welcomers (including scheduling medical appointments & handling administrative tasks related to health insurance & benefits).

Experience/background :

  • A first successful experience in office management role;
  • Strong multitasking abilities to manage various demands of the role effectively;
  • Advanced Microsoft office skills & office life application (Slack, Bamboo, ). 
  • Confidence, motivation, & strong organizational skills;
  • Excellent interpersonal skills to interact with diverse stakeholders;
  • Flexibility to adapt to changing priorities & cover additional tasks as needed;
  • Experience of dealing with personal & confidential data relating to employees
  • Strong problem-solving abilities;
  • Positive attitude & a proactive approach to work;
  • Excellent writing skills
  • Excellent spoken & written English
