Office Manager
We are seeking a proactive & versatile Office Manager to join our team & take ownership of various office support functions. This role involves setting up & maintaining office functionalities, providing support for facilities, events, & projects, & ensuring a pleasant work environment for our team.
Main responsibilities :
- Office Management: Managing the entire life of the office
- Organize office layout & order stationery, equipment, & supplies;
- Welcome visitors & be the first point of office contact ;
- Manage the meeting rooms (reservation, availability);
- Manage all issues that the building can have;
- Assist the Managing Director & Sales Director (meeting, expense account, travel);
- Ability to lead internal projects:
- Deployment of Workplace Management software;
- Management of an office removal : Planning & coordination, needs assessment, budget management, logistics, risk management, monitoring & evaluation, communication & employee feedback.
- Admin & financial:
- Budget tracking of expenses related to the office activity;
- Be the back office for our expense tool & help the executive team;
- Prepare office reports for the Managing Director.
- Event:
- Proposing & organizing events & activities to improve employee commitment, such as team lunches, team building, afterwork events, etc..;
- Coordinate business travel arrangements & internal meetings;
- Assist the marketing team for client events (organization, logistics).
- HR:
- Assist in the onboarding process for new welcomers (including scheduling medical appointments & handling administrative tasks related to health insurance & benefits).
Experience/background :
- A first successful experience in office management role;
- Strong multitasking abilities to manage various demands of the role effectively;
- Advanced Microsoft office skills & office life application (Slack, Bamboo, ).
- Confidence, motivation, & strong organizational skills;
- Excellent interpersonal skills to interact with diverse stakeholders;
- Flexibility to adapt to changing priorities & cover additional tasks as needed;
- Experience of dealing with personal & confidential data relating to employees
- Strong problem-solving abilities;
- Positive attitude & a proactive approach to work;
- Excellent writing skills
- Excellent spoken & written English
