The role

The Workplace Team is responsible for providing the infrastructure & workspace of a modern working office for our Berlin Campus buildings & driving innovation across the international organization. As Associate Director Workplace  Operations, you will be part of the Workplace Team based in Berlin Kreuzberg, & report directly to our Director of Workplace Strategy. In this role, you will oversee the daily operations of our Berlin extended campus currently comprised of three buildings & You will lead the Workplace Operations, Front Desk Management & Facilities Operations teams to ensure best in class services & experiences for all employees while on campus.  Your role will be to create & maintain an environment where our employees enjoy coming to work in a professional, healthy, safe & welcoming environment.

Our teams goal is to exceed employee needs, & in this role you will support this goal through workplace development. Your role is to oversee all aspects of campus management, campus operations & facilities while developing the space to reflect our corporate culture.

What youll do

  • Ensure all hard & soft facilities services & maintenance issues, requests & complaints are acknowledged & acted upon quickly & efficiently, & escalated where necessary.
  • Build roadmaps for all teams & design programs to enable a Best in Class workplace
  • Mentor & manage the Berlin Workplace team & help them grow into a world class organization
  • Create & Execute on Workplace related OKRs, development projects, stakeholder management, & ad hoc projects.
  • Develop & oversee the annual campus operations budget, optimizing resources & aligning financial planning with strategic objectives.
  • Prepare comprehensive financial reports for senior management, detailing budget utilization, cost-saving initiatives, & variances. Collaborate with Finance teams to align financial planning with strategic goals.
  • Ensure campus operations comply with all relevant regulations, safety standards, & company policies. Identify & mitigate risks related to facilities & workplace operations.
  • Foster strong relationships with internal stakeholders, including various teams & departments, to align workplace operations with their needs & expectations.
  • Define & track key performance metrics related to campus operations, using data-driven insights to continuously improve workplace experiences.
  • Own the space strategy that supports our growing in-person/hybrid remote workforce. Use data to drive your workplace development decisions.
  • Serve as the primary point of contact for our Berlin landlord(s) & be responsible for keeping the buildings well maintained, efficient & safe.
  • Design new processes & programs & improve upon the day-to-day experience for all employees through the analysis of Workplace data
  • Extend & translate our company's values into the daily operations & workplace environment, ensuring our campus is supportive & reflective of all backgrounds, cultures & working styles.

What youll bring

  • You bring 8 Years of experience in building & leading a high performing team
  • You have experience working in fast-growing companies & ideally in well established companies where you have developed best practices.
  • You have a strong foundation in customer service & experience managing stakeholder expectations.
  • You question the status quo, see challenges as opportunities rather than problems & positively encourage others to find creative problem-solving solutions
  • You make decisions based on rational reasoning & data & you are able to consolidate & present data confidently to senior management.
  • You have the ability to work independently as well as lead & motivate cross-functionally towards project goals
  • You thrive working in a fast-paced environment, energized to come to work to make an impact.
  • You are fluent in German (C2) & English (C2) & comfortable in reading German contracts & official document.
