About the job

Were hiring a Reception & Workplace Coordinator to support office & facilities operations of HelloFresh UK HQ, the FreshFarm at 60 Worship Street in London. In this role, you will be the ultimate HelloFresh ambassador; welcoming guests, staff, tenants & couriers to our building at reception. You will be joining the Workplace & Culture team & will report to the Workplace Manager. 

As a Reception & Workplace Coordinator you will be the first point of contact, welcoming people to the building & ensuring that our space is safe & secure. You will have the opportunity to build relationships at the FreshFarm & improve our workplace experience, creating an environment where people can bring their authentic selves to work. 

What You Will Be Doing:

  • You'll be representing HelloFresh at the front desk from 8am - 5pm (Mon - Fri). You must be the ultimate host & ambassador for the building, responsible for creating a welcoming environment for all.
  • Be security conscious - ensure that everyone follows our access control policy to keep our building safe & secure.
  • Post management - sort & distribute deliveries for HelloFresh & tenants. Ensuring food deliveries are stored correctly & packages are collected. 
  • Make sure were stocked-up on all the essentials  - ordering & replenishing food & beverage, stationery & toiletries. Bring new ideas to the table to enhance our Workplace offering. 
  • First point of contact for Workplace issues - respond & resolve queries via the Workplace ticketing system in an efficient & timely manner.
  • Carry out daily office walks - ensure the office is set up for the day, proactively report or remediate any safety hazards & escalate to the Workplace Manager or onsite contractors as needed.
  • Collaborate with vendors & service providers to ensure the smooth operation of facilities-related services, such as cleaning, maintenance, & security.
  • Set up weekly Thursday Drinks & support with workplace related events.

Who You Are:

  • Youre a people person, who sees the value of exceptional customer service & how it can truly affect someones day!
  • The ability to offer strong customer service  - preferably in office coordination or a reception based role.
  • You have excellent communication skills - confident in giving instruction & direction to others.
  • A self-starter with impeccable eye for detail - we want you to fix things within your control with minimal supervision.
  • You are committed to fostering a clean & inviting workplace, proactively identifying areas for improvement, & taking pride in the environment you create. 
  • You have a can-do attitude & are always looking for opportunities to help people & get stuck in!
  • Familiar with Jira, GSuite, Canva or be comfortable with learning new software.

Location: The HelloFresh Farm, 60 Worship Street, EC2A 2EZ, London

Work Schedule: This role is office based (Monday - Friday 9am-6pm).
