Role: Office Assistant 

Grade: 2 - Hourly- Non- Exempt (Overtime Eligible) Manager: Senior Manager, Workplace Operations Location: New York, NY 

{This role is considered an essential in-office position. Therefore not eligible for remote work}. Job Description: 

HelloFreshs Office Assistant, Workplace Operations will be responsible for supporting the reception function at our NYC office. 

In this role, you will be the face of HelloFresh. Responsible for welcoming all of our guests, visitors & employees, seeing to it that they have all the information & access they need to have a successful day. You will be energized by this role if you enjoy working with & interacting with individuals across the entire organization. 

You will 

Reception: 

  • Run floor reception Onsite M-F 8:00am-4:30/5:00pm always ensuring there is coverage or clear communication to guests when reception is empty 
  • Assist in morning setup including resetting office chairs, stocking supplies, conducting space walk-through. 
  • Answer & screen incoming phone calls to the NYC HQ, escalate as needed to the follow up channel such as HRHelp 
  • Provide a friendly, professional welcoming to all employees & visitors arriving at the office Prepare for & welcome new joiners, ensuring they have the information they need to thrive in office. Including visit procedures, wifi information, & general office how-tos. 
  • Ensure reception area is tidy & presentable, with all necessary stationery & material Lead office related deliveries, drop-offs, & pick-ups 
  • Assist with office security by following safety procedures & controlling access via the reception desk (monitor check-ins, issue visitor badges) 

Projects NYC HQ office: 

  • Support with NYC HQ employee security badging process 
  • Supporti with NYC HQ business card ordering. 
  • Support employee engagement activities by assisting with organization of employee facing events 
  • Assist with catering orders as needed 
  • In partnership with the NYC HQ Office Manager, Security, & building management, coordinate onsite visits of maintenance & vendors for different office related projects & facility needs Manage HelloFresh mail including sorting & scanning incoming mail 
  • Maintain confidentiality & compliance for all mail received by this team 

You have/are... 

  • Independently problem solve for day to day occurrences, escalating larger issues to your

manager 

  • Communicates information clearly & effectively. 
  • Esthetics are important, so this person should have a great eye for detail & organization, with very high standards for a neat & organized office. 
  • Okay with getting your hands dirty (literally & figuratively!) 
  • Customer obsessed You have an absolute passion for ensuring a great customer experience with every contact. 
  • Very strong organizational & time management skills 
  • Confident working in an autonomous role 
  • Creative, solutions focused & excited by a challenge 

At minimum, you have... 

  • 2+ years experience in an office environment 
  • Bachelors degree preferred, but not required - equivalent work experience considered Familiarity with Google suite & MS Office 
  • Lift Up to 30 pounds
