YOUR ROLE:

The DAM Metadata Specialist / Librarian will be responsible for the management, cataloging, & organization of digital assets within our Digital Asset Management (DAM) system. The primary focus of this role will be to ensure that all assets (images, videos, documents, etc.) are properly tagged, classified, & searchable, enabling creative, marketing, & production teams to easily locate, access, & utilize the content they need to execute high-quality campaigns. This role requires a deep understanding of metadata standards, taxonomy, & asset organization best practices.

The ideal candidate will have strong attention to detail, a passion for information management, & the ability to work collaboratively with creative teams to enhance the efficiency & scalability of our asset workflows.

YOUR RESPONSIBILITIES:

Metadata Management & Tagging

  • Develop & implement comprehensive metadata standards & taxonomies for the categorization & organization of digital assets.
  • Assign & maintain accurate & consistent metadata tags to assets (e.g., images, videos, PDFs, & other digital content), ensuring ease of search & retrieval.
  • Work with creative teams to identify key attributes, keywords, & descriptions for tagging, based on client campaigns, brand guidelines, & industry standards.
  • Regularly audit the metadata to ensure consistency, accuracy, & alignment with evolving campaign needs.

DAM System Organization & Optimization

  • Organize digital assets within the DAM system for easy access by internal & external stakeholders.
  • Ensure assets are organized in a way that maximizes workflow efficiency, supports creative collaboration, & adheres to industry best practices.
  • Review & ensure assets are correctly classified by type, campaign, version, & usage rights.
  • Perform quality control checks on digital assets to ensure they meet technical specifications (e.g., file format, resolution) & are properly linked to the correct metadata.

Taxonomy Development & Governance

  • Design & refine metadata taxonomies that are scalable, logical, & align with project requirements.
  • Maintain a consistent taxonomy structure that aligns with creative workflows & supports easy navigation across the DAM platform.
  • Ensure that metadata practices adhere to agency-specific guidelines & governance policies.
  • Collaborate with internal stakeholders (e.g., creative, marketing, IT, legal) to continually improve taxonomy & metadata usage.

DAM System Support & Training

  • Provide ongoing support & training to internal users (creative teams, project managers, production) on best practices for uploading, tagging, & searching for digital assets.
  • Assist with the implementation of new features or updates to the DAM system, ensuring metadata standards are maintained.
  • Troubleshoot metadata-related issues & assist with asset retrieval & management inquiries.

Metadata Reporting & Analytics

  • Generate & maintain reports on metadata utilization, asset search patterns, & metadata quality.
  • Track & monitor the success of tagging efforts, identifying opportunities for metadata optimization & improvements.
  • Work with project managers & marketing teams to analyze asset usage trends & inform future metadata strategies.

Collaboration with Creative & Production Teams

  • Collaborate closely with creative directors, designers, & other team members to ensure assets are organized according to campaign requirements & client needs.
  • Work with production teams to ensure assets are archived, versioned, & tagged correctly for future reuse.
  • Support the creative workflow by ensuring that asset access & retrieval is fast, efficient, & error-free.

Digital Asset Lifecycle Management

  • Support the digital asset lifecycle by managing the archiving, retention, & disposal of outdated or unused content.
  • Ensure compliance with digital asset rights, usage guidelines, & licensing information.
  • Help maintain accurate records of asset usage & track any licensing or rights information for each asset.

QUALIFICATIONS:

Education

  • Bachelors degree in Library Science, Information Management, Marketing, Communications, or a related field.
  • Relevant certifications in Digital Asset Management (DAM) or Information Management are a plus.

Experience

  • 2+ years of experience in metadata management, digital asset management, or similar roles within an advertising, marketing, or creative environment.
  • Experience working with DAM platforms (e.g., Frontify, Bynder, Widen, Adobe Experience Manager, etc.) is preferred.
  • Strong familiarity with metadata standards, taxonomies, & asset organization principles.
  • Experience working with creative teams & understanding creative workflows, file types, & asset needs is a plus.

Technical Skills

  • Proficiency with DAM systems (e.g., Frontify, Bynder, Widen, Adobe Experience Manager) & metadata standards (e.g., IPTC, XMP, Dublin Core).
  • Knowledge of file formats (e.g., images, videos, PDFs, audio files) & their associated metadata.
  • Familiarity with cloud-based storage solutions & file-sharing platforms
  • Basic knowledge of HTML/CSS & web content management systems (CMS) is a plus.

Soft Skills

  • Exceptional attention to detail & organizational skills.
  • Strong written & verbal communication skills, with the ability to explain complex metadata systems to non-technical users.
  • Ability to work collaboratively & cross-functionally with creative, marketing, & IT teams.
  • Proactive problem-solver who can identify issues & suggest improvements.
  • Time management skills with the ability to prioritize & manage multiple tasks in a fast-paced environment.

RAPP's current hybrid model is designed to enable in-person connections & collaboration that is core to our culture, while also supporting flexibility for all employees. As such, we have the option to work from home two days per week, if we'd like.

This range is specific to Chicago & multiple factors are considered in making compensation decisions including, but not limited to: skill set, experience & training, certifications; etc. This is an exempt position.
