BaubleBar is looking for a highly organized & detail-oriented Administrative Assistant to keep our product development team running smoothly & efficiently. This is a great opportunity to assist our employees with diverse fashion & creative projects & provide general administrative support. The administrative assistant will assist with general office tasks as well as manage the sample library & be responsible for documenting & maintaining the digital & in-person organization of the sample filing system.


  • Assist the product development team with administrative duties for in-house jewelry & accessories product
  • Photograph jewelry samples for product database
  • Upload & organize sample images within the product database
  • Manage incoming & outgoing international parcels which includes unpacking samples, checking them into the product database & creating shipping labels
  • Download product database catalog on a daily basis
  • Organize sample library by developing & maintaining a sample organization system
  • Organize materials & maintain materials library
  • Help with cross-functional team requests such as taking additional sample images & shipping samples out to customers
  • Work onsite in our Manhattan office 5 days per week


  • Bachelors Degree preferred
  • 2-5 years of experience as an administrative assistant
  • Exceptionally organized
  • Tech savvy with strong knowledge of photograph & image management as well as the ability to learn new systems
  • Levelheaded & proactive in problem solving
  • Ability to take initiative & ownership of all work, within a fast-paced environment
  • Documentation of fully vaccinated status for COVID-19
