About the Role
We are looking for an experienced Executive Assistant to work closely with our Head of Business Operations & our Head of Marketing & Communications International based in Zurich. In this Zurich-based role, you'll be supporting two of our MDs , taking over day-to-day administrative tasks, & acting as a key point of contact for various internal & external stakeholders globally. Your experience in working with teams & clients will shine as you navigate this dynamic role. Your ability to anticipate needs, pay meticulous attention to detail, & maintain the utmost confidentiality will be critical.
Responsibilities:
- Liaison with Internal Stakeholders: Collaborate with internal teams such as compliance, legal, & finance to facilitate seamless operations.
- Calendar Management: Efficiently manage the calendars, scheduling meetings, appointments, & events to optimize their time.
- Administrative Tasks: Provide general administrative support, including email correspondence, phone calls, & document preparation.
- Budget Monitoring: Assist in tracking & monitoring the marketing department's budget, helping to ensure expenditures align with financial targets.
- Travel Planning: Organize complex travel itineraries for both MDs, both domestically & internationally.
- Expense Reports: Process & manage expense reports, ensuring accuracy & adherence to company policies.
- Branded Merchandise & Event Materials: Keep track of branded merchandise inventory & coordinate the production & distribution of event materials.
- Creation of PowerPoint presentations, Excel spreadsheets & management of SharePoint sites (uploading & filing documentation)
Qualifications:
- Minimum of 5 years of proven experience as an executive support or administrative assistant; Of which 2+ years in the financial industry or marketing.
- Detail-oriented, with a commitment to high-quality work.
- Passion for working in a fast-paced environment.
- Experience in working with international teams & across various time zones.
- Exceptional organizational & time management skills.
- Energetic & engaged professional who is passionate about working with people & exceeding expectations.
- Strong communication skills, both written & verbal.
- Fluent in English & German, additional languages are a plus.
- Ability to handle sensitive & confidential information with discretion.
- Adaptability & a proactive approach to problem-solving.
- Proficiency in office software tools, including Microsoft Office suite (PowerPoint, Excel etc) & Monday.com
- Team player, with a proactive can do attitude, willing to take on new tasks & challenges as the role develops
