Convene is seeking a Hospitality Coordinator to join the opening team at our new property opening in Boston! The Hospitality Coordinator will report directly to the General Manager. 

What Youll Do:

The Hospitality Coordinator supports many aspects of the meeting & event offerings at this dedicated location in accordance with Convenes vision, mission, & values, including our core principles.

  • Lead the coordination of program setup & execution with cross-functional teams, including Service, Production, Technology, & Culinary departments
  • Liaise with the Culinary & Service teams to assist with the setup & execution of Food & Beverage, ensuring that it follows the client's Program Execution Order
  • Assist in supervising the front-of-house service team & act as support for the staff with tasks including but not limited to setup, event execution, breakdown, utilities, maintenance, & security
  • Greet & welcome all guests upon entry into a Convene property; approach all encounters with guests & employees in an attentive, friendly, courteous, & service-oriented manner 
  • Check-in guests with proxyclick & show the reception/nourish area
  • Problem-solve requests at the welcome desk & escalate inquiries as needed 
  • Liaison with Operations Team, assist with Robin (Room Booking) reservations, catering orders, building requests (badges, tickets, work orders), sort/deliver mail & packages
  • Effectively communicate via verbal & written correspondence with all levels of employees & clients, exhibiting GRIT in all interactions 
  • Keep the Welcome Desk & coat room clean/organized; responsible for badge printing & stocking of materials
  • Escort meetings, guests when needed
  • Orchestrate & set up Surprise & Delights for WP Members and/or Site Tours
  • Develop & maintain positive client relationships 
  • Assist the Service Manager & Chef with scheduling & administrative responsibilities
  • Create & maintain positive relationships with building management & landlord partners 
  • Order office supplies
  • Manage lost & found
  • Assist with service execution; set-up & breakdown, support during peak periods
  • Assist with the coordination for the setup & execution of all functions with the Service, Production, Technology, Customer Success, & Culinary departments
  • Work dynamically & prioritize departmental functions to meet deadlines
  • Comply with Convene standards & regulations to encourage healthy, safe, & efficient operations in adherence to best practices & requirements from DOH, FDNY, OSHA, CDC, & local guidelines, etc.
  • Ensure Standard Operating Procedures & Brand Standards are being adhered to & support any updates accordingly when applicable
  • Basic knowledge of Audio/Visual equipment set up & usage
  • Platform use in: Salesforce WXM Portal, ProxyClick, Envoy, GoParrot, Square, Robin, ZenDesk, Microsoft (*Word, Powerpoint, Excel) 

What We Look For: 

  • Minimum 2 years experience in hospitality 
  • Ability to work effectively with clients
  • Flexible & long hours are sometimes required
  • Ability to move, lift, carry, push, pull, & place objects up to 25 pounds without assistance
  • Ability to reach overhead & below the knees, including bending, twisting, pulling, & stooping
  • Ability to stand, sit, or walk for an extended period of time

Base Salary:

Starting Hourly Rate: $27.00/hour

This role is also eligible for Convene's annual incentive performance bonus plan.

This information reflects the anticipated base salary range for this position based on current national data. Minimums & maximums may vary based on location. Individual pay is based on skills, experience & other relevant factors.
