As a People Shared Services Associate at our organization, your responsibilities include employee data management such as contract administration, certificate generation, benefit data administration, & archiving personnel documents in Workday, while maintaining high-quality HR master & movement data. Ensuring data accuracy, updating records, & reporting issues to the team are crucial aspects of your role. You'll collaborate with respective stakeholders to enhance the employee experience, maintain confidentiality, & contribute to overall team goals. Additionally, you'll handle ad-hoc admin processes to support operational efficiency.

What youll do

  • Facilitate employment life cycle data management & changes such as but not limited to onboarding, contract processing, new hire registration & profile creation, job detail changes/ movements, competency/training requirements, off boarding etc.
  • Facilitate time registration, & travel & bill expenses administration.
  • Leave administration & other relevant employees benefit data administration in the system.
  • Responsible for document management related to courses, performance management, training into the systems, including issuance of employment certificates & other relevant documents.
  • Maintain & update competence file & support in electronic filing system structure.
  • Maintains HR master data & movement data in the system by to ensuring high Degree of data quality.
  • Administrating digital applications such as DocuSign & other relevant document management.
  • Ensures document archiving of all personnel-related documents in the HR system.
  • Ensure continuous alignment & improvement of HR processes & practices across the organization.
  • Participate in activities related to tasks such as training, audit, & creation & review of Standard Operating Procedure, when applicable.
  • Keeps the data updated in Workday & corrects whenever applicable data if needed.
  • Ensures data accuracy & correct flow of information to the relevant stakeholders involved in the daily activities.
  • Perform other related tasks that may be required from time to time.

What youll bring

Qualifications

  • With a Bachelors degree in Human Resources, Psychology, and/or related field.
  • With at least two (2) years of solid & comprehensive experience in the same capacity.
  • Has experience & knowledge of HR processes, systems, & tools within the various stages of the employee lifecycle.
  • Has proven skills in managing, understanding, & executing of ERP systems & tools, database functionality, & reporting.
  • Proficient in employee data process management.

Competencies

  • Knowledge & working experience in Workday are an advantage.
  • Has experience in Microsoft Office tools.
  • Experience working in a multicultural & shared services environment.
  • Has willingness & ability to proactively collaborate & communicate within the team & with stakeholders.
  • Ability to resolve conflict with integrity & demonstrate a high degree of confidentiality & negotiation skills within the scope.
  • Analytical & able to translate & communicate statistical data into action.
  • Ability to work independently as well as in a team.
  • Structured, accurate, systematic, & committed to delivering within deadlines.
  • Ability to take initiative make sound judgments & recommend decisions.
  • Result-oriented mindset.
