About the Role
We are looking for an upbeat, reliable individual with the hunger to learn in a fast-paced startup culture. The ideal candidate will have a tenacious nature; not being afraid to take on new challenges or step outside of their comfort zone to get things done. This person will be extremely organized with excellent written, oral & interpersonal communication skills & possess the ability to complete complex tasks & projects quickly with little to no guidance. Understanding basic company organization, working relationships, & team dynamics will be key, as will actively contributing to the community with a positive attitude & approachable demeanor.
Responsibilities
- Office Manager:
- Oversee the day-to-day maintenance & operations of our facilities
- Coordinate our front desk experience to create a hospitable environment for employees & guests at HQ
- Manage office ordering that includes but is not limited to supplies, snacks & beverages, & swag to support employees
- Manage vendor contracts & service agreements for cleaning, security, etc.
- Coordinate repairs, maintenance, & facility improvements
- Administrative:
- Assist Marketing, HR, Finance, other teams with various tasks & employee events
- Plan & coordinate domestic & international travel
- Organize team activities (staff meetings, all-hands meetings, & social events)
- Complete timely corporate card expense reports each month
- Manage other key administrative activities as needed (space planning, updating organizational charts, etc.)
- Other:
- Maintain & respond to employees on all communication threads (email, Slack, in person) with exceptional customer service & within our service level
timelines
- Ensure that all new hires are set up properly on their first day, & be a resource to all remote employees
- Provide data on office programs to help drive decisions
- Manage sensitive matters with a high level of confidentiality & discretion
- Provide resolution & problem solving through excellent customer service
- Performs other related duties as assigned
Qualifications
- Entry level role with no previous professional experience required
- At least 2 years of related experience preferred
- Ability to handle multiple projects & priorities within agreed upon timelines & budgets
- Proactive nature with the ability to pursue unforeseen challenges
- Ability to handle administrative details independently & set priorities without regular supervision
- Attention to detail, organizational planning, time management, & multi-tasking abilities
- Thoughtful communication skills & the ability to work effectively with a spectrum of personalities
- Passion for service
- Ability to prioritize & multitask
