Vox Medias Legal & Business Affairs team is a dynamic & integral part of Vox Media, supporting the company in all areas of business, content creation, & compliance. Were seeking an experienced Legal Operations Senior Associate to join our highly motivated Legal Operations team.
The core functions of the Legal Operations team include knowledge & information sharing, building & maintaining systems, project management, & managing legal team vendors for Vox Medias Legal & Business Affairs team. Were looking for a creative, detail-oriented, & solutions-driven experienced operations professional with a proven ability to partner cross-functionally to build scalable systems & processes. You will play a critical role in enhancing the Legal & Business Affairs teams effectiveness & efficiency, enabling the department to better serve the needs of Vox Media.
This position reports directly to the Head of Legal Operations (who is also Senior Director, Rights & Licensing) & will work alongside another legal operations professional.

WHAT YOULL DO

Systems Development & Legal Tech Management
- Create, develop, maintain & optimize legal systems & tools across DocuSign, Dropbox, Slack, & low-code automation applications like Airtable & Zapier.
- Partner with other members of the Legal & Business Affairs team, as well as stakeholders across the company to create processes & manage integration & adoption of systems.
- Manage legal tech & legal vendor relationships.
Project Management
- Design & lead initiatives to improve workflows, processes, & contract lifecycle management. For example, our Legal Operations team partnered with other members of the Legal & Business Affairs team & Vox Medias content creation teams to create a streamline process for production to send out the necessary legal documentation for their projects. This process also memorializes key informationsuch as restrictions, & other critical datathat can be used by the Legal & Business Affairs team & our production teams in the future.
- Manage complex cross-functional projects from ideation through execution ensuring goal alignment, managing stakeholder communication, execution, & adoption, both independently & collaboratively with other members of the Legal Operations team.
Information Governance & Knowledge Management
- Create & maintain resources for the Legal & Business Affairs team & external guidance to the various content creators & business teams it supports. This includes ideating best saving practices & processes, critically assessing our current resources, & thinking strategically about how we communicate guidance to the company.
- Develop & champion best practices for knowledge sharing, documentation, & document retention.
Additional Responsibilities
- Support Vox Medias compliance efforts, including employee & contractor training, records retention, & other compliance initiatives.
- Support the exploration of new technology to further innovate & improve systems & workflows.
- Lead the Legal & Business Affairs teams AI transformation.
- Proactively identify knowledge gaps & implement scalable solutions that empower business users with self-service legal resources.
- Assist the General Counsel & other members of the Legal & Business Affairs team with managing outside counsel billing & payment.
WHO YOU ARE
- 4+ years of experience in legal operations (or adjacent operations background) with a proven track record of developing workflows, processes, & managing complex projects, & systems.
- Excellent communication skills, including clear & effective written & verbal communication.
- Ability to work effectively with a diversity of individuals at all levels & across all areas of an organization & can effectively manage upwards.
- Highly organized & meticulous attention to detail & quality of work.
- Curious, creative, open-minded & energized by solving operational challenges.
- Ability to adapt & adjust goals, priorities, processes, & results throughout change.
- Ability to multi-task in a fast-paced environment.
- Proven ability to independently identify areas of improvement & proactively escalate.
- Adept at translating ambiguity to actionable goals & processes.
- Team-oriented & flexible with a no task is too small mentality.
- Experienced in working with Airtable, Slack, Zapier, Docusign, & Google Workspace.
- Familiarity with AI.
- Preferred but not required:
- Experience working at a law firm, in-house legal team, or media company.

WHERE YOULL WORK
This job is located in New York or DC. While we currently do not require Legal & Business Affairs team members to work out of the office regularly, team members are expected to be available to come into the office from time to time for meetings with other team members or key stakeholders.
