The Senior Manager, ADA Accommodations oversees the administration of the Americans with Disabilities Act (ADA) Accommodations program for all US business units & locations. They are responsible for implementing standardized policies & practices, training & educating employees, HR & managers as well as maintaining all records & managing follow up. They will work in close partnership with HR, legal, Workers Compensation, the business & facilities as well as Benefits & Leave of Absence stakeholders to ensure both compliance with the law & company programs are met, & a positive employee experience is achieved.
You Will:
- Engage in the process of determining eligibility of employee accommodations through review of documentation, consultation with department managers, employees, legal & other stakeholders to determine whether requests falls under the ADA & what is reasonable to implement
- Provide overall coordination of reasonable accommodations under the ADA
- Collaborates with all site locations & involved parties to evaluate medical information, restrictions/limitations, & accommodation requests
- Manage & lead all 1) discussions with the employee, their manager, & HR, 2) evaluations, 3) record keeping, 4) identification & implementation of accommodations, 4) monitoring, 5) accommodation notification/documentation, & 6) consultation with partner teams such as Workers Compensation & Benefits/Leave Teams as needed
- Track & document all requests & arrangements & ensure consistent response in the context of the job descriptions & operational needs
- Provides support & guidance to HR & management in providing guidance on all aspects of accessibility & accommodation for the Company including physical & mental health, & supporting technological & other associated workplace accommodations, short or long term
- Support DEI initiatives & efforts including participation on committees or conducting trainings as requested
- Make recommendations for policy & process improvement including ongoing review & development of procedures in partnership with legal, compliance & HR
- Serves as a point of coordination on religious accommodation requests
- Perform accommodation services to ensure compliance with regulations, Company policies, & standard work to support employee requests for accommodations in safe & productive assignments.
- Audit case management & accommodation process for endtoend case management; this includes working with the employee, operations leaders, work location, & other stakeholders.
- Develop transitional work assignments or longterm accommodations within the position based on restrictions & available job tasks.
- Conduct regular trainings & educate employees & HR on complicated aspects of the return to work, accommodation, complex case processes, & LOA program services in partnership with the Benefits team
- Handle complex issues & cases including the inability to accommodate in close partnership with the Legal team
- Consult & partner with HR, Safety, Legal, Payroll, Benefits, team members, & other departments/systems as appropriate.
- Identify accommodation trends & recommend appropriate & consistent approaches for the organization.
- Implement & administer a job search process for employees that cannot be accommodated.
- Ensure Compliance with all state & federal regulations in relation to accommodation of disabilities in the workplace.

You have:
- Bachelor's Degree or above in HR, Business, Employment Law, Compliance or equivalent experience
- 5+ Years of related experience such as working with employees on disability, leave of absence, Human Resources, or other employee relations functions.Knowledge of federal & state disability laws regarding access for people with disabilities; specifically, ADA & FMLA.
- Intermediate experience working with all G-Suite and Windows applications
- A strong customer service mentality & the ability to manage multiple, on-going & complex caseload of disability-related matters
- Ability to prioritize in a fastpaced environment with strong analytical & critical thinking skills
- Ability to make decisions to ensure compliance with the HelloFresh accommodations protocols in partnership with critical stakeholders
- Demonstrated experience managing cases from intake to closure with a high degree of accuracy, resolution, & employee satisfaction
- Understanding of disabilities & their impact on a persons independence & employment opportunities.
- Must possess strong communication & active listening skills to build sustainable working relationships throughout the organization.
- Must possess a proactive relationship style to deal with all issues that may be sensitive in nature.
- Attention to detail & excellent interpersonal, problem-solving, listening, verbal & written communication skills
- The ability to travel to all sites as needed for meetings, trainings, investigation purposes & building assessments
- Bilingual or Multilingual verbal communication skills a plus
