SoundCloud is looking for a Senior Executive Assistant based in our New York Office who will serve as a strategic administrative partner to our COO/CFO, providing them high-level support, with meticulous attention to detail & discretion. As the right hand to our leadership team, your work will be at the core of their daily operations, seamlessly enabling collaboration & connection with each other, & the rest of the executive team.

This high-impact role demands operational excellence, outstanding communication skills, exceptional process & project management, & the agility to thrive in a fast-paced, dynamic environment. Youre also grounded in integrity, discretion, professionalism, knowing exactly when to push forward & when to hold the line.

In this role, youll handle complex travel scheduling, high-volume meeting requests across multiple time zones, coordinate preparation materials, & ensure the smooth execution of both internal & external meetings. This includes developing agendas, capturing notes, tracking action items, & managing follow-up communications with stakeholders. While you will directly support the COO/CFO, you will be responsible for operationalizing their vision across the organization.

To be successful in this role, you operate with urgency, thrive under pressure, & have a sixth sense for what your executives need, often before they do. You should be energetic, poised, personable, & have excellent executive-level presence. 

This position is a 6-month contract role with the potential to become full-time.

Responsibilities:

  • Act as the gatekeeper & air traffic controller for the Executive - managing calendars, prioritizing time, & protecting focus
  • Provide high-level administrative support, including complex calendars, scheduling meetings (executive & board-level), & coordinating travel arrangements
  • Help executives prepare for meetings by developing meeting agendas, taking & disseminating notes, & tracking action items
  • Anticipate organizational needs, proactively resolve problems, & help address issues as they arise
  • Act as the proxy for the executives & their teams; set the tone for the organization, maintain the executives image - be able to speak on their behalf & represent them on multiple issues & subjects
  • Collaborate closely with fellow executive assistants to drive operational efficiency, foster seamless communication, & ensure a cohesive, well-coordinated connection between leadership & teams across the organization
  • Manage a warm, welcoming environment for the organization & keep the executives & their teams informed & aware of organizational issues, potential concerns, conflicts, & bottlenecks
  • Handle confidential & sensitive information with discretion & sound judgment
  • Recognize operational weaknesses & help sharpen processes or develop new ones
  • Partner with multiple teams across the business & ensure alignment across global teams on goals, plans, & deliverables
  • Understand the business preferences & priorities of your leaders in order to best support their time 

Qualifications:

  • 8+ years of Executive Assistant supporting C-Level Executives, Chief of Staff, or similar experience 
  • High-level EQ with top-tier organizational, time management, & communication skills
  • Experience with strategic planning, organizational planning, & operational follow-through
  • Experience managing multiple projects simultaneously under tight timelines & rapidly shifting priorities
  • Proven ability to handle highly sensitive & confidential information with discretion, integrity, & professionalism
  • Excellent written communication skills, with the ability to proactively engage with stakeholders at all levels
  • Be highly proficient at analyzing, synthesizing, & summarizing data/information, creating reports, spreadsheets, presentations, & making recommendations or improvements 
  • Strong business & financial acumen
  • Capable of managing stakeholder relationships across multiple functions internally & externally
  • Based in the New York Metropolitan Tri-State Area, you are expected to be in the office on the same days as the COO/CFO & are comfortable with the highly adaptable nature of support work, including being available as needed
  • Excellent command of Google Suite (including Gmail, Google Sheets, Google Calendar, Google Docs & Google Slides) for required preparation of presentations & drafting of various forms of correspondence requested by the COO/CFO

The salary for the 6-month contract is $84,000.
