This position will be reporting directly to a key Executive. This is a full-time position & will require the candidate to be in-office 1-2 days a week (flexible). Office is located at Hudson Yards.
Responsibilities:
- Inbox maintenance for Executives inbox - moving out junk/spam, jumping in for meeting scheduling, escalating priority correspondence, etc.
- Calendar management of an extremely active calendar, scheduling internal & external meetings, travel, personal obligations, events, etc.
- Responding to & drafting internal & external correspondence in a timely manner
- Maintaining any tracking or status documents related to Executives calendar and/or projects
- Booking international/domestic travel (commercial & private flights/hotels/cars/greeters/etc.).
- Be available during off hours during international travel to assist with any adjustments that may arise.
- Collaborate with cross-functional assistants (external & internal) to ensure that any ongoing projects, meetings & needs for the Executive & company are met
- Assisting the Executive as needed with various team projects & business needs
- Manages ad hoc executive projects
- Handle coding & submission of Executives corporate expense reports
- Coordinate conference rooms & catering as needed for meetings
- Assisting the Executive with personal tasks, when needed
Qualifications:
- 3+ years of relevant experience as an Executive Assistant
- Ability to act as a team player & to interact with all levels of employees & clients within & outside the organization
- Highly organized, a great multi-tasker & intense attention to detail
- Strong problem-solving skills
- Have an attitude of no task is too big or too small & be willing to wear many hats
- High degree of personal initiative - be resourceful, proactive, flexible, & responsible
- Able to maintain a high level of integrity & discretion in handling Executives personal & professional matters
- Flexible work schedule & willingness to work outside of normal business hours when needed, not overly frequently
- Multitasks & handles changes in a positive way
- Coachable & willing to accept feedback & incorporate feedback when needed.

- Exact compensation may vary based on skills, experience, & location.
- Base Salary $100,000 - $115,000
