VaynerTalent seeks a super detail-oriented & responsive individual to serve as an Administrative Assistant for our President/Managing Partner. This role will report to the Associate Director, VaynerTalent & the President/Managing Partner, VaynerTalent.
The Administrative Assistants day-to-day will encompass back-end team support functions as well as client-facing execution, & possibility for travel. This team is fast-moving; the Administrative Assistant will help both keep the trains on the right tracks internally, & ensure external client relationships remain strong & robust.
This opportunity will offer high levels of responsibility with client-interfacing day-to-day interactions on high-profile individuals & groups in the media, entertainment, & sports industry. As a result, the task at hand is to deliver both administrative support & creative strategic thinking across a variety of accounts, where we deliver a high volume of work.
Responsibilities:
- Proactively manage executives schedule throughout the day, ensuring that they are where they need to be, prepared for meetings in advance, & ready to seize opportunities where they appear
- Scheduling, confirming, & relocating commitments as/if necessary to ensure all parties are present, & proactively manage time-sensitive ad-hoc issues that may arise
- Serve as go-to point of contact for all upcoming meetings: contact all individuals to schedule; if virtual, confirm all parties present & reach out if they are late; if in-person confirm all parties have necessary info for parking, security, building or room access
- Update internal tracking & project management tools to reflect the current status & state of team schedules, outstanding items, etc.
- Arrange & coordinate meetings & events as well as professional reservations & travel arrangements
- Determine appropriate course of action, referral, or response when fielding requests

- Prioritize conflicting needs; handles matters expeditiously, & proactively
- Being a regular point of contact for clients & taking a critical role in actioning client & team requests that lead & shape opportunities based on the clients business objectives
- Assist the Associate Director as an additional point of contact for engaged talent, answering tier-one questions & concerns & escalating others appropriately
- Monitor a stream of emails for to-dos & relevant information
- Take detailed notes & meeting minutes for all conversations participated in, articulately & accurately documenting conclusions, actions, & follow-ups, & memorialize these materials into project management tools
- Provide general administrative support across the team & organization, assisting where bandwidth allows
- Serve as the central point of contact for all team priorities, projects, etc., acting as the primary owner of teams project management tools & processes
- Maintain intimate knowledge of ongoing project & priorities, such that guidance can be given as to appropriate prioritization for senior management
- Aid in tracking outstanding items for follow-up & input-needed from senior management & other team members
Qualifications:
- Bachelors degree required
- 3+ years of Administrative experience, with a strong preference for those functions at a prior employer within the Media, Entertainment, & Sports industry
- Experience with Google Drive & Docs, Zoom,Microsoft Office
- Excellent written & verbal communication skills
- Highly resourceful & disciplined, with strong emotional intelligence & self-motivation
- Experience & comfort with client-facing presentations & interaction
- Comfort with & disciplined to manage highly sensitive confidential information
- Flexibility to travel if client relationship management needs dictate (~10%)
Location: This will be a hybrid position based in New York

- Exact compensation may vary based on skills, experience, & location
- Base Salary $50,000-$65,000
