The Position:

The Philanthropy Operations Manager will join First Look Institute at an exciting juncture as it continues to expand & resource its philanthropy department. The Philanthropy Operations Manager is responsible for managing & optimizing development processes & systems in support of increasing nonprofit revenue.

The Philanthropy Operations Manager will implement system improvements to ensure seamless integration of data & information related to direct response membership revenue, individual major gifts, institutional support & events, & collaboration with the finance department. The Philanthropy Operations Manager is responsible for ensuring the integrity of all data related to development, including revenue tracking & database management. They will manage & maintain efficient fundraising practices, systems & tools, including but not limited to gift processing & acknowledgements, & budget oversight. The Philanthropy Operations Manager will customize data pulls to generate accurate reports, track results, & trends in data. As part of the philanthropy team, they will contribute to long-term & annual revenue goals, & as a lead collaborator with the finance department, they will ensure accurate budgeting & reconciliation.

We seek a nonprofit professional who has a passion for operations, processes, & continuous improvement. The ideal candidate will be team-service oriented, self-directed, & comfortable in a setting where they help to expand an emerging philanthropy program within an established nonprofit organization.

Data Management & Integrity

  • Serve as an expert of the CRM system-Salesforce-within the Philanthropy team, assist in its use, & ensure that all appropriate utilization by all staff
  • Oversee & manage Salesforce systems & records for the Philanthropy team, including prospect & donor biographical information & moves management
  • Produce data-driven reports, utilizing Salesforce & the departments marketing software,  ActionKit, in an efficient & productive manner
  • Maintain data relating to donor-related events & direct mail campaigns, including producing & tracking reports, mailing & email lists, donor lists for communications, committees, event invitations, & internal use
  • Conduct routine audits of Salesforce, ensuring data is current & team is practicing current data integrity protocols
  • As needed & in collaboration with the First Look Institute Product & Engineering teams, maintain agile & effective operational systems

Finance & Gift Processing

  • Oversee & manage Salesforce & ActionKit information & records for the philanthropy department, including pledge & gift data entry, oversight of gift processing & record-keeping, & gift receipting & acknowledgment
  • Collaborate with the finance department to track & manage all pledges & gifts, producing revenue reports for internal distribution
  • Track & oversee the philanthropy department budgets & reconciliation with the finance department
  • Process vendor invoices & internal expense reports
  • Manage routine revenue forecasting with all frontline fundraisers
  • Conduct recurring imports of data into Salesforce & ActionKit, including donation data from various online platforms & physical checks
  • Manage all gift receipting & acknowledgement processes, including providing prompt, accurate, & tailored acknowledgement letters for select donor gifts

Philanthropy Department Support

  • Provide individual & institutional major gift prospect research & screenings
  • Manage customer service systems for individual donors
  • Support a range of administration & special project needs for the philanthropy department
  • Supporting general administrative needs for the CPO, as needed 
  • Other appropriately related projects/duties as assigned

Background & Qualifications:

  • Minimum of 5 years of experience in nonprofit fundraising
  • Knowledge of Development best practices.
  • Highly organized & able to track & manage multiple projects simultaneously, including ability to prioritize work projects & meet deadlines
  • Eagerness to work collaboratively in a fast-paced, team-oriented, & goal-driven environment with the utmost level of integrity
  • Demonstrated experience in creating & monitoring a donor pipeline
  • Competency with Salesforce operations and/or Salesforce Trailhead or demonstrated ability to adapt from an equivalent CRM platform
  • Demonstrated critical thinking skills to analyze data & understand its relationship to the overall fundraising objectives
  • Proficiency with G Suite, particularly Sheets
  • Outstanding interpersonal skills, with the ability to develop productive working relationships across a wide variety of individuals & groups, virtually & in person, including award-winning leaders, writers, & artists throughout the organization
  • Strong skills in oral & written communications
  • Respect for the importance & integrity of the mission of the organization
