Working with Appians Workplace & Facilities team, the Facilities Specialist II will serve as an intermediary between Appian employees & customers, prospects, partners, suppliers & third parties. The ideal candidate will be a detail-oriented self-starter with strong communication & interpersonal skills, able to communicate effectively with individuals at all levels of the organization.
This is a full time, in office position at our Appian Headquarters Office in Tysons Corner, VA.
To be successful in this role you will need to:

Maintain accurate records & database of badging, parking, & any other building access requirements for employees. Handle creation & distribution of physical badges & passes to employees. Maintain & produce reporting from internal & external attendance & security systems.

Oversee booking & review invoicing of remote daily workspaces & conference rooms. Manage flex office booking vendor relationships, accounts & training for all Workplace, Real Estate & Facilities employees in all Appian locations.

Answer & manage incoming communications. Handle outgoing & incoming mail & deliveries, including the creation of shipping labels.

Serve as front desk backup to greet & direct visitors, including customers, prospects, partners, suppliers, third parties & job candidates, providing utmost level of hospitality & ensuring required protocols.

Assist in maintaining physical workstation/office-numbering system, database, floor plans & seating charts using our facilities management tools/software.

Collaborate with other Workplace & Facilities team members on driving & supporting Appian initiatives. Under the direction of RE & Facilities leadership, coordination & implementation of renovations, improvements, office moves, & other facilities related projects.

Ensure security, health & safety procedures are followed throughout the facility.

Oversee on-boarding of employees. Duties to include tracking & ensuring location requirements for health & safety, badging, seating, & other inter-departmental requests. Coordination of off-boarding of employees & collection of property & paperwork as needed.
Basic Qualifications:
-
4+ years of experience with Facilities operations or in a relevant related position

A minimum of a BS/BA degree

IT skills, including Microsoft & Google Applications Level IV Facilities
