What is the key purpose of an Administrative Assistant? 

As an Administrative Assistant working on the Executive Assistance team at Taboolas NYC Headquarters, you will provide executive support & assistance to one or more senior executives. Were looking for someone who is proactive, who thrives in a fast paced environment, enjoys learning, & appreciates that no task is too big or too small.

What skills & qualifications do I need? 

  • 1 year of experience in a professional office environment 
  • A team player attitude, with a mission driven, service orientation, outstanding interpersonal & communication skills, both written & verbal
  • Outstanding planning, time management & organizational skills
  • Great interpersonal skills, service orientation, & the mentality of a proactive team player - you can handle matters proactively & follow through on projects to successful completion 
  • Strong attention to details & ability to follow through with a high-level of accuracy
  • Highly resourceful problem solver & multi-tasker
  • Availability for flexible working hours, taking care of on-going & urgent matters
  • High level of discretion & confidentiality
  • Proficiency with MS Word, Excel, G-suite

Itd be great if you also have: 

  • 1 year of experience in a support/executive assistant role
  • Work experience in a global company, with significant experience managing individuals who work across various time zones 

What will you be doing on a day-to-day basis?

As an Administrative Assistant, you will:

  • Manage senior executives calendar: schedule meetings, handle internal & external scheduling requests while coordinating multiple parties & multiple time zones, set-up conference calls & invitations, monitor recurring meetings 
  • Ensure timely completion of schedule, ensure participating parties are prepared with expected deliverables, monitor & follow-up on the execution of action items
  • Coordinate open tasks helping organizing time & setting priority for them
  • Act as a point-of-contact for internal & external business colleagues
  • Coordinate team meetings & events, both internally & offsite. Partner with office administrative team
  • Handle travel arrangements + expense reports
  • Partner with the Executive Assistance team to plan, coordinate & execute different projects & processes
  • Provide operational support & as needed
