JOB OVERVIEW:

As Flywheels Facilities Manager, reporting to the Director of Studio Planning & Operations, you will support the daily upkeep, technology & maintenance support needs of the Flywheel studios nationwide. Things move quickly around here, & we need a resilient & organized individual to join our team to help us perform our deliverables in a timely & service-focused manner. Responsibilities will include supervising the receipt, dispatch, & resolution of requests from studios for support in the areas of facilities, tech ops, & operations. You will lead the team in developing & monitoring standardized procedures for preventative maintenance activities, assembling presentation materials, placing & tracking orders for supplies & materials, monitoring the renovation & refresh schedules, & participating in landlord relationships & negotiations. In addition to managing the facilities support needs, this person will be responsible for general lease administration tasks, including responding to landlord requests, managing the process for lease events, & orchestrating communication & paperwork related to leases between internal & external stakeholders. The ideal candidate is outgoing & energetic, customer service focused, while also being self-motivated with strong organization & communication skills. Your goal will be to always ensure that all duties are completed accurately & delivered with high quality & in a timely manner so that our studio teams have the support they need to service the Flywheel guests.We aim to resolve the small issues before they grow into larger situations that could impact the studio experience; as such occasional early morning, late night, & weekend support is required of this position.

ON A TYPICAL DAY, YOU WILL/ SPECIFIC RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Responsible to receive, respond, dispatch, & follow up on all service requests received from Flywheel studios teams; requests will be submitted in various manners (ServiceChannel, Happy Fox, phone, text, email, & word of mouth) & will need to be tracked & managed accordingly
  • Acts as liaison between internal departments & vendors; advocating for studio needs in a methodical & thoughtful manner balancing both data-driven decisions & brand-driven requirements
  • Maintain project list & prepare weekly status update, elevating urgent projects to supervisors as necessary
  • On-call 24/7 for support to studios; this role is considered critical personnel
  • Interpret & manage lease requirements & serve as point of contact for landlords
  • Assist in lease management & creation of lease-required documentation in partnership with legal
  • Maintain key real estate documents, leases, & real estate calendar
  • Track costs & schedules; demonstrate ROI for necessary spend
  • Prepare contracts, purchase orders, exhibits, templates, correspondence, reports, & other documentation as needed
  • Support the HUB to ensure the office is clean & maintains its appearance & image
  • Assist with deliveries of materials & related paperwork
  • All other duties as assigned by supervisors

IDEAL CANDIDATES WILL HAVE / SPECIFIC RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • 4-6 Years professional work experience in a fast-paced environment, ideally dealing with Facilities / Construction / Engineering / Tech
  • Experience leading a team with supervisory responsibilities
  • Ability to read & understand construction & lease documents required
  • Communicate effectively with property management, landlord, legal teams, architects, contractors, sub-contractors & vendors
  • Construction accounting experience a plus, but not required
  • AutoCAD, Photoshop, InDesign, & Sketch-Up are all beneficial to this position
  • Advanced Adobe Suite (Excel & PowerPoint) are critical knowledge for this position
  • Passion & interest in hospitality & customer experience
  • Demonstrate confidentiality & discretion when handling sensitive matters
  • Creates processes to streamline different tasks; Identifies potential solutions that are practical & effective, & follows through with the solutions you offer
  • Ability to be resourceful & proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize & work under pressure
  • Technologically savvy; Strong written & verbal communication skills
  • Work will routinely involve assisting on projecting where bending, reaching, & lifting/moving up to 40 pounds is required
