Position Title: Administrative Assistant, Legal 

Job Summary: The Administrative Assistant will provide support to a C-level executive as well as the executives team.

Key Responsibilities: 

  • Provide support to the executive including but not limited to scheduling, calendar management, booking travel, reserving conference rooms, out of office coverage etc.
  • Provides the following support to the executives team:
  • Proactively schedule meetings, external calls, internal team calls/meetings
  • Manage outlook calendars & contacts for designated team members
  • Create & manage POs & e-signatures through Adobe Sign/DocuSign
  • Book domestic & international travel
  • Arrange catering orders for external lunches & other meetings
  • Book conference rooms & set up VCs for team
  • Prepare & submit expense reports using Concur
  • Register team for conferences, book hotels, etc.
  • Send FedEx, mail, fax, copying, answering phone calls & other general administrative tasks & activities
  • Ad hoc projects as assigned

Qualifications:

  • Bachelor's degree preferred
  • Minimum of 3-5 years supporting senior-level executives or a team of professionals preferably in the Pharmaceutical/Biotech industry, Finance/Investment industry or at a start-up
  • Demonstrate alignment with company values & culture
  • Proactive, positive, energetic & enthusiastic personality
  • Team player
  • Ability to work well under pressure
  • Detail oriented with excellent time management & organizational skills
  • High levels of integrity & discretion in handling confidential information
  • Ability to learn quickly & adapt to change
  • Must be an independent worker with the ability to follow direction & the flexibility to change direction when needed
  • Able to take ownership of processes & prioritize tasks
  • Ability to manage multiple assignments & responsibilities
  • Tech-savvy & resourceful
  • Advanced knowledge of Microsoft Office Suite
