THE POSITION

The Workspace Manager is a key position, managing our working environment, reporting to the Workspace Senior Manager. This is a varied role but the main emphasis will be the efficient & effective running of our workspace. We are looking for an experienced, well organized & energetic individual with strong communication skills, the ability to work unsupervised using their initiative as required & the ability & commitment needed to prosper in a fast paced environment.

THE GAME PLAN
Everyone on our team has a part to play

  • Manage contractor & vendor relationships & coordinate & monitor their activities including organizing repairs & following through to completion
  • Conduct & document regular facilities inspections, complete daily scheduled checks of all office areas & be pro-active in the pursuit of workplace cleanliness & efficiency
  • Manage all workplace services including reception, security, access control, vending, incoming/outgoing shipments, mail, parking etc.
  • Manage inventory & place orders for pantry & office supplies while managing costs within budget
  • Support office & workplace improvements & development projects to include supervising small refurbishments & renovation projects
  • Working with the HSQA team to ensure compliance with health & safety rules, regulations & best practices
  • Raise purchase orders & reconciling invoices
  • Manage & coordinate meeting rooms & catering as necessary
  • First Aid & Fire Warden duties
  • Assists & coordinates corporate employee events with People Team
  • Execute office policies & procedures, & ensure they are being followed

THE STATS

What we're looking for in our next teammate  

  • 3+ years of experience in a Facilities Management role in a medium to large organization
  • Detailed knowledge of & experience in Facilities Management, building services & maintenance, & property management
  • Positive attitude & the ability to be proactive, resourceful & flexible
  • Should possess stellar time-management skills
  • Excellent people skills, including the ability to work effectively individually as well as part of a team
  • Ability to organize, prioritize, meet deadlines, make decisions & change course of action quickly
  • Detail oriented with strong organizational & follow through skill
  • Ability to maintain confidentiality & ethics
  • Proficiency with Microsoft Outlook, Word & Excel
  • Must have exceptional attention to detail
  • Strong organizational & time management skills, & ability to prioritize
  • Must be a self-starter & driven
  • Excellent communication & interpersonal skills
  • Hands on experience with office machines (e.g. fax machines & printers)
  • A creative mind with an ability to suggest improvements
