Job Description

Executive Assistant & Office Manager

Position Description:

We are seeking an experienced Executive Assistant to support our MD. This individual should demonstrate articulate written & verbal communication & the ability to organise & manage multiple priorities. This key contributor will go above & beyond to extend the highest level of service possible. The Executive Assistant enhances this leader's effectiveness by providing information management support & representing the Executives to others. This professional should have a high degree of business sense & a proven ability to persuade people on behalf of the Executive they support & represent. The Executive Assistant is a forward thinker & highly proactive in order to stay a step ahead & anticipate the needs & requirements before asked. As for the Office Coordinator portion for this position, this individual will play an essential role in providing administrative support for our Reading office & employees.

Responsibilities:

Executive Assistance

Manages the executives' time & calendar(s). Independently schedules appointments & meetings

Manages & delegates correspondence & invitations on a weekly basis

Arranges complex & detailed travel plans & itineraries

Ensures the executives are prepared with necessary materials for all meetings

Answers incoming calls & correspondence & responds independently when possible

Arranges events/conferences with staff & vendors including venue selection, catering, invitations, & budgets

Composes & prepares confidential correspondence, reports, & other documents

Creates & maintains reporting relative to project milestones

Maintains files for the SVP & other executives within the department

Exhibits strict confidentiality with all information relating to travel, expenses, disciplinary actions, compensation, appraisal scores & promotions

Office Coordination

Coordinate office breakfasts, lunches, happy hours, weekly food shop etc. - all office event catering

Managing office supplies such as stationery & coffee machine materials

Maintain the cleanliness of the conference rooms & common spaces on a daily basis

Building & maintaining good working relationships with our UK vendors

Warmly greet visitors & guests, have them sign in, & notify the person they are here to see

Assist with coordination of conference space & catering for ad-hoc meetings

Receive & route incoming mail & courier deliveries to the appropriate party

Help organise company volunteer opportunities

Management of access cards to the office alongside facilities management

Act as the point of contact for all general office questions

Assist with special projects as assigned

Qualifications

Experience, Skills & Competencies:

Bachelor's degree from four-year college or university; and/or 2+ years of related experience and/or training

Ability to build & maintain relationships with all levels of the organisation

Confidentiality & professionalism

A high level of computer expertise required, including MS Outlook, Excel, PowerPoint

Excellent written & oral communication skills

Ability to be flexible & innovative in a fast paced, growth-oriented environment

Must exhibit service excellence towards all with whom he/she comes into contact

Must be able to hold oneself accountable for meeting commitments & deadlines

Position requires demonstrated poise, tact & diplomacy

Must be able to handle a very busy desk with changing volumes of work

Exceptional organisational & prioritising skills

Prior front office, receptionist, or office administrative experience required

Friendly & outgoing personality; helpful customer service approach

Strong time management & multitasking skills

Ability to prioritise tasks & shift gears as necessary

Excellent written & verbal communication skills

Professional appearance

Solid grammar, spelling, & proofreading skills

Computer savvy with proficiency in MS Office applications

Self-motivated, creative & versatile

A sense of humor is always welcome!
