Team Whistle is looking for a full-time experienced Production Coordinator to join the Production team. The Production Coordinator will work with the Production Manager to support the day-to-day production schedule & crew under the guidance of the Production Manager. This person modifies & adjusts the series and/or episodes, calendars, & implements strategies to stay on schedule & budget while encouraging the crew.

You should be passionate about digital content & understand Snapchat & YouTube best practices, as well as social media in general. Were looking for collaborators & innovators. Creativity & organizational skills are a must. The ability to move fast & be able to pivot with tight deadlines is essential.

Responsibilities:

  • Manage show schedules & coordinate the day-to-day workflow for all assigned projects.
  • Submit all necessary paperwork for a shoot/project: RTW plan, insurance forms, releases, POs & P-Card receipts; submitting all paperwork for purchases made by the department, legal, licensing & agreements. 
  • Develop effective relationships with all departments & crews to ensure daily communication, troubleshoot issues, & potential delays.
  • Attend all series related meetings to ensure that the schedule is moving forward and/or specific issues are addressed and/or escalated.
  • Track all show/series budgets.
  • Work with the Production Manager on; tracking, budget, approvals, production planning, & advise them of any potential problems or issues, particularly those impacting schedule or budget, & come prepared with proposed solutions.
  • Experience with Sony Equipment workflows, basic sound equipment, Adobe Suite.
  • Providing production & logistical support during studio & field production.
  • Building & executing pre-production standards for production team as a whole.
  • Manage & distribute efficient shoot schedules, overseeing that the project is staying accurate to time & budget. Hire crew as needed per shoot & call sheets. Oversee the completion of deal memos, start paperwork, including all union paperwork.

Requirements:

  • 1-3  + years production & line producing experience
  • College degree is desired
  • Experience with Budgeting
  • Google Docs
  • Comfortable negotiating rates & maintaining schedules
  • Excellent organization, planning, writing, & communication skills
  • Ability to communicate across teams & work collaboratively
  • Excellent problem-solving skills
  • Ability to work independently & a willingness to take on new challenges
  • Manage numerous projects simultaneously & meet deadlines
  • Experience as a UPM or Line Producer is extremely favorable
  • Must be willing to facilitate personnel requirements including late and/or last minute scheduling changes in a 24/7 production work environment.
  • Able to proactively own & execute designated tasks independently, with a high level of comfort asking for help when needed.
  • Experience working with and/or managing Asana, Trello, Jira or similar project management system.
  • Strong organizational skills.
  • Incredibly reliable.
  • Media organizing & light editing experience a plus.
